Showings Tracker

The short version

Showings Tracker stores your account, your tours, your notes, and your debrief recordings in the cloud under your account. Recordings are sent to a speech-to-text service to be transcribed and the transcript is sent to Anthropic to be structured into notes. Nothing is shared with other users, listing portals, or advertisers, and there are no analytics or tracking SDKs. Everything can be deleted on request.

What we collect

Account: your email address, and your name if you sign in with Google.
Tour content you enter: tour names, dates, the buyer name you type in, property addresses, list price, beds, baths, and square footage, your scores, your summaries, and typed notes.
Debriefs: the audio recording, its transcript, and the structured notes produced from it, including whether each note is attributed to you or your buyer and whether it was explicit or inferred.
Audit trail: an append-only log of every change made in your workspace (for example “set buyer score to 8.5”), kept so the history of a record is never lost.

Microphone and recordings

The app asks for microphone access the first time you press the capture button, and records only while you are holding it. When you release, the audio is written to private storage on your iPhone first, then uploaded to our cloud storage under a path only your account can read. Recordings are retained. They stay attached to the showing so you can play the original back from the property profile; they are not discarded after transcription. The local copy on your phone is removed once the upload is confirmed and the debrief is filed.

How a recording is processed

To turn speech into notes, the audio is sent from our server to a speech-to-text provider — Deepgram or OpenAI (Whisper), depending on configuration — which returns a transcript. The transcript, together with the addresses on that day’s tour and the buyer name you entered (used only to work out which home you were describing), is then sent to Anthropic(Claude) to be structured into attributed notes, scores, comparisons, and open questions. These providers process the data to return a result to you; we do not use your recordings or transcripts to train models. Nothing files until you review and confirm it in the app.

Offline capture

If you record without a connection, the audio waits on your device and uploads on its own the next time you open a capture screen with signal. Until then it has not left your phone. Previously opened screens stay available offline; live data is never served stale when you are online.

Where your data lives

Accounts, tour data, and recordings are stored with Google Firebase(Authentication, Cloud Firestore, and Cloud Storage) in Google Cloud’s United States region. The app and the transcription and extraction endpoints are hosted on Vercel. API keys for the processing providers are held only on the server and never reach your device.

Who can see what

Your workspace is private to your account by default, enforced by database and storage rules keyed to your sign-in rather than by app settings. Other agents cannot see your tours. Buyers see nothing in this release: the “Buyer” tab is a preview built on sample data, and when buyer sharing ships, a buyer will only ever see the specific notes you choose to share, never your private notes or negotiation details. We never sell individual showing data, sponsor against it, or share it with listing portals.

Third parties

The services that handle your data on our behalf are Google Firebase (sign-in, database, file storage), Deepgram or OpenAI (speech-to-text), Anthropic (note extraction), and Vercel (hosting). Each receives only what it needs to perform that function. There is no analytics SDK, no advertising, no crash reporter, and no tracker in the app.

Deleting your data

There is no in-app account deletion yet. Email jonahs@28digitalstudio.com from the address on your account and we will delete the account, every tour, note, transcript, audit record, and recording within two business days, and confirm by reply. Deleting the app from your phone removes any recording still waiting to upload but does not delete what is already in the cloud.

Children

Showings Tracker is a professional tool for licensed real-estate agents and is not directed at children under 13. We do not knowingly collect information from children.

Changes

If this policy changes, the effective date above changes with it. A change that adds a new processor or a new kind of data will be called out in the app before it takes effect.
